Make "someone looks before it goes out" part of the system
When one social media manager writes and publishes alone, there's no chance to catch typos, wrong dates or topics you shouldn't touch. Sending every draft to your boss by chat, waiting for a reply and then posting by hand doesn't last either. The reviewer, too, loses track of which ones to look at.
Handing drafts to AI makes this problem bigger. AI writes plausible text, but it doesn't know your shop's circumstances or internal rules. That's why SNS TOWN doesn't publish AI drafts as they are, but lines them up under Awaiting approval. The thinking behind approval itself is explained in How to Build an Approval Workflow.
Post statuses and where approval fits
A post goes through several statuses from creation to publication. Approval sits between "Awaiting approval" and "Scheduled".
| Status | Meaning |
|---|---|
| Queued | A post cycle slot has been created and is waiting for AI to write |
| AI is writing | AI is writing the draft |
| Awaiting approval | The draft is ready and waiting for a person to approve |
| Scheduled | Approved, and will go out when the time comes |
| Posted | Published on the network |
| Skipped | Decided not to publish |
| Missed | Stayed Scheduled but couldn't go out, 6 hours or more past its time |
While a post is Awaiting approval, it won't go out if nobody does anything. A post whose time passes without approval doesn't go out at that time, and stays on the calendar as a yellow Awaiting approval tag.
What you can do with a post awaiting approval
Open a post awaiting approval to check its text, image and publish time, then choose one of the following.
Approve
Approving makes it Scheduled, and it goes out when its time comes. You can only approve posts that have passed the pre-publish check. While there is a problem, such as going over the character limit or having no image for Instagram, the approve button can't be pressed.
Also, a post whose publish time has passed can't be approved. This stops text written for a specific time from going out late. Either fix the time and then approve, or send it right away with "Post now".
Edit, then approve
If the text feels slightly off, fix it on the spot and then approve. The edited version is checked again when you save. If you want the whole thing rewritten, you can also have AI write it again.
Unapprove or skip
If you change your mind after approving, "Unapprove" returns it to Awaiting approval. If you decide not to publish it, click "Skip". Skipped posts stay on the calendar as gray tags, so you can look back at them later.

Decide who can approve
Who can approve is set under "Who can approve, publish now and send replies" in the company or brand settings.
| Setting | Who can approve |
|---|---|
| Admins and editors (default) | Members with the Admin or Editor role |
| Admins only | Members with the Admin role |
With "Admins only", editors can still write and edit drafts but can't approve, post now or send auto-reply responses. Companies that want to separate the people who write from the people who decide it may go out should choose "Admins only". Members with the Viewer role can't change posts under either setting. To choose roles, see Members and Roles.
Draft mode and auto mode in the post cycle
In a post cycle, you choose "Draft mode" or "Auto mode" for each slot.
In Draft mode, AI drafts line up under Awaiting approval, and only the ones a person approves go out. Drafts appear in Awaiting approval by 15:00 (Japan time) two days before the day they go out, so you can read them calmly the day before.
In Auto mode, a draft that passes the check becomes Scheduled as it is, and goes out at its time without waiting for approval. However, even in Auto mode, a draft that fails the check is not published. AI rewrites it once, and if it still fails, it is put under Awaiting approval with the note "It did not pass the check, so it was put under Awaiting approval instead of going out automatically."
Which mode a new post cycle starts in is set by "Default mode for new post cycles" in the settings. We recommend starting in Draft mode to get used to how AI writes, then switching slots to Auto mode once you feel comfortable.
Noticing what is awaiting approval
When a draft is waiting for approval, we tell you through Notifications. It also appears in the "Awaiting approval & stuck" panel on Home, so it's the first thing you see after logging in. How to arrange the Home panels is explained in the dashboard page.
If you've set auto-reply to send only after approval, reply drafts line up under Awaiting approval on the auto-reply screen. Who can send replies also follows the "Who can approve, publish now and send replies" setting above.
How it works step by step
- Open a post from "Awaiting approval & stuck" on Home or from "Awaiting approval" in the posts list.
- Check the text, image and time, and fix them if needed.
- Click "Approve" to make it Scheduled. If you won't publish it, click "Skip".

Frequently asked questions
What happens if the time passes without approval?
It doesn't go out. It stays under Awaiting approval. If you want to publish it, fix the time and then approve, or click "Post now".
Do hand-written posts need approval too?
No. A post you wrote yourself goes out as soon as you click "Post" or "Schedule" on the creation screen. If you want other people to look at hand-written posts too, put them under Awaiting approval with "Save draft" and have an approver approve them.
Can I edit a post after approving it?
Yes, as long as its publish time hasn't passed. If the edited version fails the check again, it returns to Awaiting approval. A post whose publish time has passed can't be changed.
Won't Auto mode let strange posts go out?
A draft that fails the check is put under Awaiting approval and not published, even in Auto mode. However, the check mechanically looks at things like character counts and banned phrasing, and doesn't judge whether the content is correct. For slots where factual mistakes worry you, stay in Draft mode.
I don't notice when approvals pile up
In the notification settings, you can have SNS TOWN tell you by email or in the browser when something is waiting for approval. Keeping the "Awaiting approval & stuck" panel near the top of Home also helps.
